Reviewing and approving your CSR data is an integral part of a robust reporting process.

Data Reviews allow you to segment your data so that key people only have to look at data concerning their area influence. For example, segmenting your energy data for your property manager, fuel use for your fleet manager and so on.

An Overview of the Data Review Process

Data reviews are windows in to your data. You segment your data in to areas of relevance and set time periods (E.g. a financial year or quarter).

A segment could be all waste streams, all stationary energy sources etc. Or it could be based on sites, business units, cost centres etc.

  1. Segmenting your data is done using Data Collection Groups which you define in Settings. Once defined,
    • assign a data collection group to each data review, and
    • assign a data collection group to each inventory item.
  2. When adding your activity data to inventory items that data will automatically appear in data review with the same assigned data collection group

A Data Review contains all the necessary information for your team to review and approve that segment of information.

The sections of a Data Review are (in order of appearance)

  1. Activity data
  2. Activity data pivot (for analysis)
  3. Emissions
  4. Historic activity data
  5. Historic activity data pivot (for analysis)
  6. Historic emissions
  7. Historic emissions pivot (for analysis)
  8. Emissions breakdown by gases
  9. Emission factors
  10. Data collection tasks used in the collection of this data
  11. Commentary
  12. Supporting document
  13. History (a system generated audit trail of activity)

Various display properties of each section can be configured as well as completely hiding a section. These settings are available under Main menu > Manage > Data Review Management. (Appropriate access permissions apply)

Data Reviews allow for up to four levels of approval. In order, they are:

  1. Corporate Reviewer (the CR)
  2. Corporate Approver (the CA)
  3. Executive Reviewer (the XR)
  4. Executive Approver (the XA)

At each level, the person has the option to 

  1. Just level a comment
  2. Raise an issue
  3. Make a recommendation
  4. Approve the data review for their level
  5. Decline the data review for their level

Leaving a comment

Leaving a comment is used to add information to the data review for completeness and/or inform other parties. It has no effect on the status of the data review.

Raise an issue

Raising an issue can be used for highlighting inaccuracies or flaws in data, data collection methodologies or reporting.

All issues can be reviewed collectively using the data review notes tool at Main menu > Review & Approve > Review Notes.

Make a recommendation

Making a recommendation can be used for suggesting areas for improvement in data collection methodologies or reporting or potential inaccuracies.

All recommendations can be reviewed collectively using the data review notes tool at Main menu > Review & Approve > Review Notes.

Approve

Approving a Data Review passes it to the next person in the review process. They are immediately notified by email which contains a link to the Data Review. 

If they are the final step in the review process then all participants in the Data Review are notified of the completion of that Data Review. 

Decline

Declining a Data Review passes it back to the previous person in the review process. They are immediately notified by email which contains a link to the Data Review. 

If they are the first step in the review process (i.e. the Corporate Reviewer) then the Corporate Approver and Executive Reviewer (if that level is used) are notified that the Data Review has stalled and responsibility is handed back to the data collection team.  

Data Collection Tasks:
Performing data collection tasks in BraveGen CSR involves the data source owner (DSO) sourcing data and then the data submitter (DS) uploading data into the system and then verifying it. Tasks are overseen by the data overseer (DO) who also performs a detailed review and signoff of uploaded data.

Data Review Manager:
The grid on the Data Review Manager displays a list of Data Collection Groups which contain data for related inventory items collected for a given reporting period. For example, stationary energy may be represented as a single Data Collection Group for which related inventory item data for electricity, natural gas and diesel is collected in separate data collection tasks. When all data collection tasks for a specified Data Collection Group have been completed (to DO level), they will appear in the grid on the Data Review Manager page.

Data Reviewers and Approvers:
Review and approval of data is typically performed by the Corporate Approvers (CA). Where applicable, other review and/or approval roles are available such as the Corporate Reviewer (CR), Executive Reviewer (XR) and Executive Approver (XA).

Data Review Page:
Selecting a report period name for a specific data collection group from the Data Review Manager grid will take reviewers to the Data Review Page which contains the information required to perform review and approval functions including:

  • time series tables containing activity data (current period and historic), emissions data (C02e, gases and emission factors), statistical data as applicable
  • comments and approval box - for leaving review and approval comments and actioning approvals
  • related data collection task grid - for viewing the parties involved, history, notes, documents, DO review comments for each data collection task that forms part of the Data Collection Group
  • data review history, notes and documents - actions performed by the DO, CA's, GR's and GA's as well as their review notes.

Review Data

Locate and View a Data Collection Group

To review data for a Data Collection Group, click on the group's name in the Data Review Manager, as indicated in the module above called 'View the Data Review Manager', and the Data Review Page for that particular group will appear.

The Data Review Page displays all information and functionality required to comprehensively review and approve data for a Data Collection Group. This includes:

  • the status of the review i.e. Awaiting Corporate Approval, Awaiting Group Approval
  • time series tables containing activity data (current period and historic), emissions data (C02e, gases and emission factors), statistical data as applicable
  • comments and approval box - for leaving review and approval comments and actioning approvals
  • related data collection task grid - for viewing the data uploaded, history, notes, documents, DO review comments for each applicable data collection task
  • data review history, notes and documents - for actions performed by the CA's, GR's and GA's as well as their review notes.

The top section of the Data Review Page, as displayed below, shows the data collection group name, the report period, the parties involved in performing the review as well as the approval status.


Review Data Tables

Beginning at the top of the Data Review Page, you can review a series of tables containing activity, emissions, emission factor and statistical data. These tables should be read with reference to the Data Table Guidelines for Interpretation.

The data presented in the Activity Data and Emissions (Tonnes C02e) tables, as displayed below, is a month by month summary of data uploaded or manually entered for the reporting period via data collection task(s) relating to the selected Data Collection Group.




Beneath the Activity Data and Emissions tables, you can view the Activity Data (Historic) table, as displayed below, which enables you to compare activity data across reporting periods.



Beaneath the Activity Data (Historic) table, the Emission Breakdown by Gases table is presented, as displayed below. This table enables you to analyse the breakdown of emission values by individual gases and the emission factors by gas are also displayed.



The final two tables for review are Emission Factors and Statistics. The Emission Factors Table enables the review of relevant emission factor information for the inventory items contained in the selected Data Collection Group. This includes emission factor source details and their breakdown into the component gases.



Any relevant statistics can be presented. In the example below, the statistics displayed are relevant to Car Fleet and Taxi Business Travel.

Data Table Guidelines for Interpretation

1. Units of Measure (UoM):

  • Out of Scope Inventory Items - in all activity data tables, the UoM for out of scope inventory items is specified in the inventory item name, as circled in red below.
  • Scope 1, 2 & 3 Inventory Items - in all relevant data tables, the UoM for in scope inventory items is specified in the UoM column, as circled in green below.

2. Activity Data (Historic) Table:
This table shows data for the current data collection period as well as historic periods whose number of months are set to align to the number of months in the current data collection period. For example, if there are 6 months in the current data collection period then the historic periods displayed will each reflect 6 months.

Review Related Data Collection Tasks

Underneath the data tables on the Data Review page you can drill deeper and review information for each related data collection task. To drill down into any Data Collection Task, click on the Task Name located in the grid, as displayed below. This will enable you see the parties involved in the task and to review Data Overseer review comments, the actual data uploaded, and an audit trail of notes, history and documents for the task.

You can also expand the grid columns, per the arrow in the top righthand corner below, to view the start, due and reminder dates set for each party involved in the data collection task. review the actual data uploaded by the DS for this data collection task, click on the document name located in the Documents grid.

You can also view the details of related Data Collection Processes by clicking on the 'Go to Data Collection Processes' button, circled in blue below.


Review and Add History, Notes and Documents

At the foot of the Data Review Page, as displayed below, are grids containing the notes, documents and history relating to the selected Data Collection Group.

Under Notes, you can review the comments left by the preceding reviewers as listed at the top of the page. These comments have high explanatory value in terms of understanding the data presented in the data tables. The DO provides their review commentary on data collection methodology, trend analysis and reduciton initiatives by clicking on the 'Add Note' button.

Any relevant uploaded document can be viewed along with system generated history of reviewer and system activity for the selected Data Collection Group.

Approve Data

When a reviewer/approver has reviewed the information they then have the option 

  • leave only commentary in the box provided and approving the data by clicking on the 'Approve' box, as indicated by the green arrow below
  • or just leaving a comment in the box provided and clicking on the 'Continue' button, as indicated by the red arrow below. If a reviewer/approver wants issues addressed before they approve the data then this person will need to contact the appropriate party such as the CA or CR if clarification or more information is required. If there is a problem with the data then it may be decided that the process needs to be redone in which case the DO needs to set the relevant data collection task(s) to 'with DSO' and the process starts again. Communication will have to happen outside of BraveGen CSR to facilitate this.



When the DO has approved all data collection tasks related to a data collection group, the CR/CA will be notified by a BraveGen CSR auto-generated e-mail. Then, when the CR and CA approves the GR is notified, when the GR approves the GA is notified and when the GA approves the CA, GR and GA are all notified.

Assign Reviewers

In the Data Review Manager, Corporate Reviewer (CR), Corporate Approver (CA), Group Reviewer (GR) & Group Approver (GA) roles may be assigned or subsequently reassigned to other users for selected data review periods and data review pages.

To assign a user, navigate to the Data Review Manager page and scroll down to the 'Assign' feature located underneath the grid of Data Review Groups. Select the user, role, review period and review(s), then click the Submit button.

The Assign feature can only be viewed and operated by users with the company administrator role permission.
